Special Billing Coordinator (Global Resource)

About the Role
As a Special Billing Coordinator, you will play a key role in ensuring accurate and timely client billing, while coordinating payments to sub-vendors and background/drug screening vendors in compliance with contractual requirements. You will work closely with clients, branches, and internal teams to deliver high-quality billing services in a fast-paced, detail-driven environment.
Key Responsibilities
- Prepare and deliver customized client invoices weekly, using methods such as XML, FTP, or client AP platforms (e.g., Ariba, Coupa, or other portals).
- Review invoices to ensure accuracy in all required special bill fields.
- Process sub-vendor billing for clients utilizing secondary vendors to fill positions.
- Prepare check requests and release payments to sub-vendors
- Bill clients for background and drug screening services when applicable.
- Generate weekly or monthly billing reports for clients.
- Follow up with branches, on-site teams, HRCG, or clients on missing special bills, timecards, or billing inquiries.
- Investigate and resolve billing discrepancies.
- Monitor and ensure supplier payments are accurate and released within agreed payment terms.
- Perform other related duties as assigned.
Qualifications
Required:
- Minimum 1 year of billing or related industry experience.
- Strong attention to detail with the ability to work independently and within a team.
- Excellent problem-solving skills in a fast-paced environment.
Preferred:
• Associate’s degree (A.A.) or equivalent from a 2-year college or technical school.
Skills & Competencies
- Communication: Excellent verbal and written skills in English.
- Technical: Intermediate Microsoft Word, basic Excel, Outlook, and experience with client billing software.
- Mathematics: Proficient in calculating mark-up percentages, bill rates, discounts, and other basic math functions.
- Organization: Ability to multi-task and manage priorities effectively.
